QuickBooks Online: invoices and payments

QuickBooks Online connects on its own card. It's for bookkeeping only: kaylin never reads email or a calendar through it. Each person connects their own, and can share it with the team.

1. 1Go to Integrations and find the QuickBooks Online card.
2. 2Press Connect QuickBooks Online and sign in to Intuit.
3. 3Pick the company kaylin should use. The card then says Connected with the company's name.

Ask kaylin

In Chat, or by texting kaylin, ask things like "Who hasn't paid?", "What does Acme owe?" or "Show me Acme's invoices". kaylin answers from QuickBooks Online with amounts and due dates.

Ask kaylin to "create an invoice for Acme for a website setup". QuickBooks Online has no drafts, so the invoice is saved there and not sent to the customer.

Each line goes on the product or service with the same name in QuickBooks, or on Services if there isn't one, with your words in its description.

Ask kaylin to "send" it and QuickBooks Online emails it to the customer.

Tell kaylin "Acme paid invoice 1042 by check" and the payment is recorded against that invoice. Recording a payment never emails your customer.

Each invoice or payment is made only once, even if you ask twice. Everything kaylin does there is listed under Bookkeeping in Settings → Activity.

Rules

kaylin emails an invoice only when you ask it to. The QuickBooks Online switch under Available tools on its card is for autopilots: Off, what they'd make in QuickBooks Online waits on Waiting for you.

When an invoice is overdue autopilots work with Zoho Books for now, not QuickBooks Online.

If something doesn't work

"Reconnect QuickBooks Online" means kaylin lost access: press Reconnect on its card. If kaylin says the company has no product or service, add one named Services in QuickBooks and ask again.

If QuickBooks didn't answer while kaylin was making something, the card says so. Check QuickBooks first; kaylin looks again before making anything, and never makes it twice.
