Booking appointments
Let kaylin offer open times and book callers onto your calendar.
You need a connected calendar first: see Connect email and calendar.
- 1Go to Settings → Workspace settings and find Appointments.
- 2Set the Length. Under More booking options, set the Gap between appointments and the Earliest booking.
- 3Appointments follow your Business hours at the top of the page. For other hours, press Different hours for appointments under More booking options.
- 4Turn on Book appointments on calls and texts.
- 5Pick the Booking calendar and what Callers book a… (like "consultation").
- 6If you go to your customers, keep Ask for the service address before booking on (it's on for home services). kaylin gets the address of the visit, and nothing is booked without one; the address goes on the calendar event.
- 7Save.
kaylin offers callers open times from that calendar and puts the one they pick on it. kaylin uses the same hours when you ask it to find a time in chat, and to tell texters when your team is next in.
By text, and moving a booking
When a number's What kaylin does is Answer and help or Offer to transfer to me (Texting customers), kaylin books texters the same way. By text, the list of open times is written by the app ("Here's what's open Tue, Nov 3:" and the times), and kaylin books only a time the customer picked from the list they saw: "the second one", "the 12", "Thursday at noon", or "any" for the earliest. Anything unclear, they're asked again.
Callers and texters can move their own booking: kaylin finds it by the number they're calling or texting from, offers open times and moves it, and the guests get the update. kaylin can't see or change anyone else's booking, and cancelling stays with your team.
Each booking and move shows on the call or the text, and starts When someone books autopilots, like Booking confirmations.
