Plan, trial and credits
What your plan includes, how credits work and how to set limits.
Settings → Billing and usage shows your plan, how many people and numbers it includes, and the credits used this month by calls, texts and AI. How credits work on that page explains what each thing uses.
Free trial
Every plan starts with a free trial, which begins once a card is on file: at the end of setup you add it in Stripe's secure form, right on kaylin's page (cards, including Apple Pay and Google Pay). Nothing is charged until the trial ends. During it, owners and admins can Change plan and choose how to be reminded the day before it ends: By email or By text. When the trial starts, the owner gets an email from hello@kaylin.io with the plan, its price, the day of the first charge and how to cancel.
The reminder names your plan, the day and what your card is charged. By email it comes from hello@kaylin.io to the owner's sign-in email; by text it comes from kaylin's own number, (307) 338-4503, to the owner's mobile, when Text me kaylin alerts is ticked in Settings → Notifications (otherwise it comes by email). It's in the app's notifications too.
Payments
Your plan bills on its own day: the day your trial ends. Your card is charged the plan's price then, and again on that day each month (or each year on a yearly plan). Your credits start over on that day too.
Manage billing opens Stripe's secure page, where owners and admins can update the card, see invoices, change the plan or cancel. Card details go straight to Stripe; kaylin never sees them. Stripe emails the owner a receipt for each payment, and says so when a payment doesn't go through or the card is about to expire. Plans renew automatically; before a yearly plan renews, Stripe emails a reminder at least 15 days ahead.
Plans change the way subscriptions usually do with Stripe. A change partway through a billing month is prorated: the next invoice credits the unused part of the old plan and charges the new plan for the rest of the month, and your billing day stays the same. Switching between monthly and yearly starts a new billing day that day, and the new price is charged then. If you cancel, kaylin keeps working until the end of the period you've paid for.
Extra usage is on the next invoice with your plan, as its own line: Extra usage: 1,240 credits past your plan, at $25 per 1,000 credits, never more than your cap. On a yearly plan it's billed each month.
When a payment doesn't go through
kaylin pauses at once: calls go to your forwarding number, or to voicemail, with no AI, and chat, texts, autopilots and calls out stop. Owners and admins see Update your card at the top of every page and in Billing; members see who can update it.
Press Update your card, add the new card on Stripe's page, and you're back in Billing: kaylin pays the unpaid invoice with the new card right away, and everything starts again as soon as it goes through.
Stripe also tries the card again over the next 2 weeks. If it still doesn't go through, the plan ends.
When credits run out
Calls are always answered. Owners and admins get an alert when 80% and 100% of the month's credits are used.
With Keep going past the plan off, nothing is billed past your plan: kaylin takes short messages on calls, and chat, Autopilot, kaylin's text answers and outgoing calls pause until the next billing month. After about 20% more of your plan's credits on messages, calls go to your forwarding number, or to a voicemail.
Turn on Extra usage in Settings → Billing and usage to keep everything going, up to the Cap each month you choose. At the cap, kaylin takes messages, then voicemail, as above.
You can also set Your own monthly limit below the plan's credits, and a monthly limit for each person under By person this month.
If kaylin can't check your credits for a moment, it doesn't guess. Calls are still answered and kaylin takes messages, for your team too; anything else that uses credits waits. Autopilots and calls set for later try again by themselves: an autopilot for up to a day, a call for up to an hour. Chat, Talk to kaylin and your team's texts to kaylin need sending again in a minute, and kaylin says so. Nothing is charged for what didn't run.
With Extra usage on, you can also turn on Spending alert and pick a dollar amount. Owners and admins get a heads-up when the month's extra usage passes it, once each billing month: in the app, and by text for anyone who ticked Text me kaylin alerts. It never stops anything; your cap does that.
