Set up kaylin

What the setup steps ask, and what to do right after.

kaylin answers your business calls and texts, takes messages, books appointments and helps your team with admin work. Setup takes a few minutes, and you can change every answer later.

The setup steps

  1. 1Welcome to kaylin: your name, Your mobile number and your time zone. With your mobile saved, kaylin knows it's you when you call or text it. Tick Text me kaylin alerts if you'd like alert texts; it's optional, and nothing is texted to you until you tick it.
  2. 2Tell us about your business: the business name and industry kaylin uses to greet callers, and your main business number if you have one.
  3. 3Pick your plan: every plan starts with a free trial. You can change the plan during the trial in Settings → Billing and usage. At the end of setup you add a card in Stripe's secure form, right on kaylin's page; the trial starts once the card is on file, and nothing is charged until it ends.
  4. 4What should kaylin handle? Pick what to start with: Answer calls and take messages, Book appointments, Follow up with leads or Daily brief (one or more).
  5. 5Pick the voices you like: play samples and star your favorites. Each phone number uses one of them.
  6. 6Which apps do you use? (optional) Tap the apps your business uses. Connect now opens Integrations, Later keeps your picks at the top of More apps for when you're ready, and Skip leaves them out.

Set me up in Chat

The quickest way through the rest: open Chat and press Set me up (owners and admins). kaylin looks at what's already there, reads your website if you have one, asks about your business a few questions at a time (your hours, services and prices, the area you serve, what callers ask most), then puts each change on a card:

  1. 1A file for What kaylin knows, like your hours or prices. Edit it if anything's off, then press Save.
  2. 2A greeting for each of your numbers: Use this greeting.
  3. 3Autopilots that fit your business, one card each: Turn it on.
  4. 4Invites for your team, when you give their email addresses: Send invites.
  5. 5Set up my number, when you don't have a number yet.

Nothing changes until you press a card's button, and No thanks leaves it out. Each change shows in Settings → Activity as made by kaylin with your OK. Stop any time, and say Set me up again to carry on.

The checklist on Home

Until kaylin is ready, Home shows Get kaylin ready (owners and admins): Get your number, Make a test call, Teach kaylin about your business and Turn on an autopilot, plus Invite your team and Connect your email and calendar if you'd like. Press a step to do it. Each one ticks itself as you go, and the checklist goes away once the four are done.

If a step is still open a day after you sign up, and again on day 3, kaylin writes to say what's left.

Everyone else on the team sees Your setup: Confirm your mobile, Connect your email and calendar, Choose how kaylin lets you know and Ask kaylin something in Chat. Members can press Set me up in Chat too: kaylin goes through their own steps with them.

Next

  1. 1Get a kaylin number so kaylin can take calls and texts.
  2. 2Teach kaylin about your business: hours, services, prices and policies.
  3. 3Forward your existing number if customers already know one.
  4. 4Invite your team.

Want to look around first? Press Load sample data in Settings → Workspace settings to see example calls and contacts. They can be removed later without touching real calls.
